Share a Data Studio report with clients and schedule email delivery

Share your copy of the Data Studio (formerly Looker Studio) report like a Google Doc, with a viewer link that shows live data every time it opens, or schedule a PDF snapshot by email from the share menu; the two can coexist.

    Open your copy and press Share at the top right.

    Choose who can open it: specific email addresses, or anyone with the link. For a client, specific addresses with Viewer access is the safe default; Editor lets them change the report for everyone who holds the link.

    Copy the link and send it. Every time it opens it shows current data: nothing to regenerate, nothing to resend.

The scheduled email

    From the same Share menu choose Schedule email delivery.

    Pick the recipients, the pages to include, the time and the cadence: daily, weekly or monthly. Data Studio sends a PDF snapshot of those pages at that moment.

    The link and the schedule coexist. A client who asks questions between sends opens the link and sees today; the PDF is the record of the month.

What viewers can and cannot see

Viewers see the numbers of the connected sources without needing access to your GA4, Search Console or Google Ads accounts, as long as each data source uses Owner’s credentials (the default in your copy). They cannot see the underlying properties, only the finished pages.

Share the link with viewer access, not editor. It is the single most common mistake when a report is handed to a client: an editor can move, delete or reconnect anything, for everyone.

Check

  • The client opens the link and sees numbers, not access requests.

  • Their access is Viewer, not Editor.

  • The scheduled email lists the pages you meant and the hour their inbox expects.
